Quality assurance
To uniformly ensure the highest possible quality, Prodigy Translation Team applies a multi-level process of quality assurance, which includes
and is revealed through the main stages of our work: preparation, glossary
creation, translation, editing and proofreading, and finally - formatting.
By passing each project through four quality management checkpoints, we
achieve both linguistic and terminological consistency. For larger projects
we create glossaries and instruction guides to locate and define non-standard
and proprietary terminology.
The main stages of our work process are:
- PROJECT PREPARATION
At this stage, files are read and analyzed for general acquaintance,
word count and any specific issues, such as the possible requirement
to adjust expressions, layout, the use of proper names, etc. specific
to the particular target language(s) and culture(s) of the project.
Additionally, by utilizing Translation Memory Software tools our team
determines what actual percentage of the content to be translated is
actually repetitive. All repeated content incurs a significant reduced
charge, which can potentially result in a substantial reduction in cost
and decrease the overall duration of the project itself. Although the
two steps described above are covered in our initial quotation process,
it is important that we have our client's final sign-off before a project
actually begins. We compare and adjust them both, which allows for any
potential mistakes to be eliminated. Next, we determine whether or not
to extract the text to be translated or to leave it in the original
source format. Depending on the source format, translators may work
directly from the source files themselves. In other instances such as
with Desktop Publishing formats, which can be heavy in graphics, we
prefer to extract text for translation. Our specialists and translators
are selected for each project, not only on the basis of their linguistic
and specific expertise, but on the basis of their technical skills as
well, so that the integrity and format of all source files is preserved.
The end result of this preparatory phase is a deliverable package to
our translation team consisting of source files, specific instructions
and style guidelines, and, of course, an exact schedule of dates for
delivery.
- GLOSSARY CREATION AND REFERENCE MATERIAL
Depending on the subject and size of the project we often choose to
compile a glossary or terminology list to be approved by our client
prior to the commencement of translation. The reasoning behind this
is:
1. This defines any unusual or potentially problematic terms or expressions
specific to our clients' products, industry or technology.
2. This enables our translating team to maintain consistency of terminology
throughout a project and to work faster.
3. This helps to prevent any misunderstanding or errors early on in
the process. After a glossary has been compiled it is submitted to the
client for approval. Any questionable words or phrases are addressed
in order to produce a mutually agreeable list of terms. Once this takes
place, the translation may proceed.
- TRANSLATION
At this stage, in accordance with the specific guidelines produced in
the Analysis phase, our translators focus on their translation by rendering
a product in the specific target language(s) of the project. The goal,
of course, is to absolutely avoid literal word for word translation,
and instead create a piece of writing, which reads as though it were
originally written in the target language itself. Equally important
in this process is the ability to maintain consistency. This is greatly
enhanced by the use of CAT software.
- EDITING AND PROOFREADING
Following translation, files are then submitted to an editor. The job
of the editor is to ensure that the content has in fact been translated
accurately and that the quality is acceptable. This is done by comparing
the translated text to the original, ensuring that grammar and syntax
have been followed. Equally important is the editor's task of making
sure terminology is correct and consistent within the documents and
that client-approved glossary terms are utilized. Since larger projects
can often involve more than one translator, the editing stage, definitely
combined with the use of CAT tools is especially important since it
adjusts adjusting individual writing styles and results in a smooth
and accurate document.
Thereafter, that a proofreader evaluates the translated and edited content
for grammar, style, professional readability, and again consistency,
(from both a terminological and cultural aspect). Since the proofreader
should by this point have a quality product in hand the main goal here
is not to employ the line by line scrutiny of the editor, but to assess
the overall flow of the document, keeping in mind the intention that
it should read as if originally written in the target language itself.
Once this has been done and any final finishing touches have been made,
the files are then returned to the translator, who will, in turn, update
the Translation Memory Database (if used) based on any changes made.
- FORMATTING
This is the final stage of our workflow and part of our quality process.
If required, at this stage files are reintegrated back into their original
format and the final translated (localized) product is built. Layout,
figures, tables, graphics, localization issues specified in the Preparation
stage, and all other elements set out in the initial guidelines are
addressed so as to produce a finished product in the specific target
language(s).
- DELIVERY TO CLIENT
Upon completion of all the stages, the final product is then delivered
to the client for review and approval. The method of delivery may vary
depending on client requirements. Generally, smaller projects are delivered
"zipped" via e-mail, rarely (when required) via snail mail,
while larger projects are transferred via FTP site.
- CLIENT APPROVAL
Once safe receipt of the translation has been confirmed, and our clients
have conducted a linguistic and technical review, we encourage our clients
to provide us with feedback, comments, objections. Any technical or
linguistic adjustments deemed necessary by the client and within the
original scope of work will be implemented by our team at no additional
charge, thus ensuring 100% client satisfaction.
Project Management
Our highly motivated and qualified project managers are taking care of
the flawless proceeding of each project, applying elaborated control system
and advanced translation management techniques.
The Prodigy Translation Team Project manager is responsible for:
- Planning projects and distinguishing tasks and responsibilities to
create an efficient translation process
- Supplier selection and assignment of tasks according to the requirements
of the job
